Service terms

Last updated 18 September 2026

These service terms cover two of our services: booking a stay with Ardena Property as a guest, and having your property managed by Ardena Property as an owner. Where you have a separate signed agreement with us, such as a property management agreement, the terms of that agreement take priority over this page.

Guest booking terms

Booking & confirmation

A booking is only confirmed once we've sent you written confirmation (or, where you booked through Booking.com, Airbnb or Expedia, once that platform confirms it) and, where applicable, we've received payment or a deposit.

Check-in and check-out

Check-in and check-out times are confirmed with your booking and set out in your check-in instructions. Please let us know in advance if you need a different time — we'll always try to help where we can.

Guest conduct

  • Please treat the property, its contents and the neighbours with respect.
  • No parties or events unless agreed with us in writing beforehand.
  • No smoking or vaping inside any property.
  • Pets are only permitted where a property specifically allows them.
  • Please keep to the maximum occupancy shown for the property.

Identity checks and damage

For some bookings we may ask for identity verification and take a refundable security or damage deposit. Guests are responsible for any damage caused beyond fair wear and tear, which may be deducted from a deposit or charged separately.

Ending a stay early

In serious cases — for example, a breach of these terms, damage to the property, or behaviour that affects neighbours or other guests — we may need to end a stay early, without a refund for the remaining nights.

Bookings via third-party platforms

If you book through Booking.com, Airbnb, Expedia or another platform, that platform's own terms and cancellation policy apply alongside these terms. Where the two conflict on cancellations, the platform's terms take priority.

Property owner management terms

Our service

Ardena Property provides serviced-accommodation management, which can include guest booking and communication, cleaning coordination, pricing and listing management, and regular reporting, as set out in your individual management agreement.

Owner responsibilities

  • Hold appropriate buildings, contents and landlord insurance for short-stay use.
  • Ensure the property meets relevant legal, safety and, where applicable, short-term let licensing requirements for its local area.
  • Keep us informed of anything that could affect guests, such as planned works or access issues.

Fees

Our management fees, and any set-up costs, are agreed individually with each owner and confirmed in writing before we start managing a property.

Pricing and marketing

We set nightly rates and market each property using our own judgement, informed by data and experience, to help maximise bookings and income. We don't guarantee any particular level of occupancy or income.

Term and termination

Notice periods and how to end our arrangement are set out in your individual management agreement.

This page is a summary of how we work. Your signed management agreement is the full and binding contract between you and Ardena Property.
